Privacy Policy — Biodiv Field

This Privacy Policy describes how Arboreal AB ("Arboreal", "we", "us", or "our"), the developer of the Biodiv Field application ("the App"), handles information when you use the App on iOS or Android.

Biodiv Field helps you carry out nature value assessments (naturvärdesbedömningar) in the field, including geodata, notes, and optional on-device speech transcription.

1. Who Is Responsible

Arboreal AB develops and publishes the App. Account authentication and optional cloud synchronisation are provided through Biodiv. When you choose to synchronise, assessment data is stored on Biodiv’s cloud servers located in Sweden.

2. Account Information

You can sign in with an existing Biodiv account. In connection with your account we process:

  • Email address
  • Name
  • Associated company / organisation

This information is used to authenticate you, associate your work with the correct organisation where applicable, and provide the Service.

3. Field and Assessment Data

When you use the App you may create or capture data such as:

  • GPS coordinates and other location data
  • Polygons and other geometries
  • Photos
  • Species lists
  • NVI classifications and related assessment attributes
  • Written notes and other field observations
  • Timestamps and similar metadata

By default this data stays on your device. It is only sent to Biodiv’s cloud when you take an active decision to synchronise.

4. On-Device Speech Transcription

The App can record audio and transcribe speech locally on your device (Whisper-based on-device models). Audio processing happens on your device. We do not upload your raw audio recordings for transcription. Transcribed text that becomes part of your assessment is treated like other field data (local until you choose to sync).

5. How We Use Information

We (and, for synchronised data, Biodiv’s cloud service) use information to:

  • Provide and maintain the App and related account features
  • Authenticate users and associate data with the correct account and company
  • Store and sync assessments you choose to upload
  • Provide customer care and support
  • Comply with legal obligations

6. Information We Do Not Collect

  • We do not use analytics, advertising, or tracking SDKs
  • We do not use cookies in the App for advertising or cross-app tracking
  • We do not sell your personal data

7. Data Storage and Location

  • On device: Until you synchronise, assessment data remains on your device.
  • In the cloud: Data you choose to synchronise is stored on Biodiv’s servers in Sweden.

8. Sharing of Information

We do not share your personal data with third parties for marketing. Data may be processed by service providers strictly as needed to operate the App and Biodiv cloud (for example hosting), under appropriate agreements. Data may also be disclosed if required by law.

Within your company or organisation, synchronised assessments may be visible to authorised users according to how that Biodiv account / organisation is set up.

9. Data Security

We take reasonable technical and organisational measures to protect data. For data that remains on your device, security also depends on your device settings (passcode, biometrics, OS updates). For synchronised data, security depends on Biodiv’s cloud infrastructure and your account credentials — keep your password confidential.

10. Data Retention

Local data remains until you delete it from the App or remove the App. Synchronised data is retained in Biodiv’s cloud according to the applicable account / organisation settings and legal requirements. You may request deletion of account-related personal data by contacting us (see below).

11. Your Rights

Depending on applicable law (including the GDPR if you are in the EEA/UK), you may have the right to access, rectify, erase, restrict, or object to certain processing, and to data portability. To exercise these rights regarding your Biodiv account or synchronised data, contact us at the address below. You may also lodge a complaint with your local supervisory authority (in Sweden: Integritetsskyddsmyndigheten, IMY).

12. Children’s Privacy

The App is not directed at children under 13. We do not knowingly collect personal information from children under 13.

13. International Users

Primary cloud storage for synchronised data is in Sweden. If you access the Service from outside Sweden / the EU, your information may be processed in Sweden in connection with providing the Service.
